Austin Community College Uses AI to Intervene Before Students Drop Out

The Texas institution is deploying real-time data integration and artificial intelligence to connect struggling students with support services faster.

Austin Community College is launching an AI-powered platform designed to identify struggling students and connect them with support services before academic problems escalate into dropout decisions.

The public two-year institution announced its Digital Twin Initiative in partnership with the Trellis Foundation, a Texas-based nonprofit that provided an $875,000 grant for the project. The platform integrates data from across the college's systems to create comprehensive student profiles, enabling staff to spot emerging needs and direct students to advising, tutoring, financial aid, mental health services, and basic-needs resources more quickly.

This fall, ACC is rolling out an initial version to approximately 46,000 active credit students, with additional features planned for spring as part of a phased deployment.

Why it matters

Community colleges serve students who often face multiple, intersecting barriers to completion—from financial pressures to work schedules to family obligations. Warning signs of student struggle are frequently scattered across disconnected administrative systems, making timely intervention difficult. If AI can successfully compress the time between identifying a problem and delivering help, it could meaningfully improve retention rates at institutions where every percentage point represents hundreds of students.

From alerts to action

Russell Lowery-Hart, chancellor of Austin Community College, told Inside Higher Ed that colleges already collect extensive student data and use early-alert systems, but implementing interventions often requires multiple steps before students receive actual help.

"The grade goes in, the student gets notified and the student then immediately has options to schedule tutoring," Lowery-Hart explained. "It could be right then and there with an online tutor or a tutoring center that's closest to them, and give them the options of time and availability and how to get there. That's what we're trying to build."

The platform provides advisers with centralized dashboards displaying information ranging from academic progress to extracurricular involvement. Aaron Henry, ACC's chief of staff overseeing implementation, emphasized the system aims to help advisers manage caseloads of 500 to 600 students more effectively by highlighting which students need immediate attention.

Staff augmentation, not replacement

A recent EAB survey of 459 student success leaders found 59 percent believe AI can support routine interactions but that staff interaction should remain the norm. Only 6 percent said AI could appropriately handle most interactions.

Henry said the Digital Twin Initiative is designed to augment, not replace, human advisers. "There are many more students than we have advisers, so the [Digital Twin Initiative] is an opportunity for our advisers to be more connected to our students who need them the most," he said.

Privacy and data governance

The initiative raises questions about student privacy as it consolidates academic, financial aid, advising, and basic-needs information. Henry said ACC will retain ownership of all student and institutional data used by the platform and will follow FERPA guidelines and other privacy compliance requirements. The college has also consulted with the Texas Risk and Authorization Management Program on security and data governance.

Lowery-Hart acknowledged that direct conversations with students remain irreplaceable but said the current system relies too heavily on students initiating contact. "Right now, almost all of those conversations rely on the student reaching out, scheduling and identifying, and that's the shift we're trying to make," he said.

The Digital Twin Initiative is part of ACC's broader AI strategy, which includes developing an AI-focused workforce pathway with an electrician certification program for students preparing for careers supporting digital infrastructure, as well as outreach programs to help small businesses adopt AI tools.
